Remembered Questions
Overview
A remembered question is asked once and then reused. Its answer belongs to the person, not to a single booking, so once a participant has answered it they are not asked again at their next event in your organization — the answer is filled in for them.
Use it for facts about the participant that stay true between events, for example a dietary preference, a shirt size, or an accessibility need. Use an ordinary custom field for anything that belongs to one booking, such as which workshop someone picked or which nights they need a hotel.
This feature is available to org_owner, org_admin, and org_organizer users in the current organization workspace. org_member and attendee-only users cannot access it.
Creating a Remembered Question
Navigate to Custom Fields Library:
- Go to the homepage.
- Select Custom Fields Library from the sidebar.
- Click Add Custom Field, or open an existing field to edit it.
- Fill in the title and type as usual. See Add Custom Field.
- Tick Remember the answer for next time.
Under Advanced, you can set Can be answered by:
- Participant and organizer (default): both the participant and your team can answer it.
- Participant only: your team can see the answer but not change it.
- Organizer only: the participant cannot answer it. The question does not appear on the registration form, and on the participant's profile page it is shown as read-only with the note Managed by the organizer.
Limitations
- No prices. A remembered answer is reused at every registration, so a fee attached to it would charge people for a choice they did not make at this event. Ticking the box removes any fee from the field's options, and the discount setting no longer applies.
- No conditional questions. A question that is only shown when another answer matches, or that reveals follow-up questions, cannot be remembered — a remembered answer is asked once, outside any condition. The form explains this in place of the checkbox when it applies.
Where Remembered Questions Appear in the Library
In the Custom Fields List, remembered questions are shown separately from ordinary ones and carry a Remembered badge. They are not offered when you build an individual event's question list — an event opts into them from its own settings instead, as described next.
Choosing Which Questions an Event Asks
A remembered question is defined once for the whole organization, but each event decides whether it asks it at all.
- Open the event and go to the Custom Fields step of Event Information.
- Find the Remembered questions card.
- Tick the questions this event should ask. Ask all and Ask none set them in one click, and the counter above the list shows how many of the organization's remembered questions are selected.
Events created before this feature existed ask all remembered questions until you curate the list for the first time.
What the Participant Sees
Remembered questions appear on the registration form in a section called Additional information, below the contact details.
- If the participant is signed in and has answered before, the answer is already filled in. Typing a new one replaces it from then on.
- If they are not signed in, the fields are empty, with a note explaining that a previous answer will be reused if they have registered before. Their answer is matched to them after they submit, so they never have to retype something you already know.
- A blank field is treated as not answered, never as cleared. Clearing an answer is done from the participant's own profile page or by your team on the attendee.
Because an answer may already be on file, a required remembered question is checked after the carry-over rather than in the browser. A participant is only asked to fill one in when it is genuinely still unanswered.
Participants can review and change their own answers at any time on their profile page. See My Profile.
Seeing and Editing the Answers
Open an attendee from the event's attendee list and edit them. The Participant profile section lists the remembered questions and their current answers. Questions set to Participant only are shown but cannot be changed there.
Saving an answer here updates it for the participant across the organization, not just for this event.
Remembered answers are not part of the attendee export. The export covers registration custom fields, the event's custom questions and admin fields — see Manage Attendee List.
