Admin Fields
Overview
Admin fields are columns your own team fills in on an attendee — a hotel assignment, a table number, a badge that has been collected. They are never shown to the participant and never appear on the registration form: unlike custom questions, nobody answers them but you.
Each field is defined per event, and once defined it appears on every attendee of that event.
The screen for defining admin fields is available to administrators. Once the fields exist, anyone who can edit an attendee can fill them in.
Defining Admin Fields
- Open the event and go to the Custom Fields step of Event Information.
- Click Admin Fields.
- Click Add Admin Field and fill in:
- Label: the name shown on the attendee and used as the column header in the export.
- Type:
- Text: a single-line text input.
- Number: a numeric input.
- Select: a dropdown. Add at least one option before saving.
- Date: a date picker.
- Required: whether the field must be filled in.
- Repeat for each field, then click Save. Nothing is stored until you save.
Fields are listed in the order you add them, and that order is used both on the attendee and in the export.
Filling in the Values
- Go to the event's attendee list. See Manage Attendee List.
- Open an attendee and edit them.
- The admin fields appear as their own section. Fill them in and save.
The values are also shown when you view an attendee's details, and changes are recorded in the attendee's history like any other edit.
Exporting
Admin fields are included in the attendee export. In the column picker, tick Admin fields — one checkbox that adds every admin field of the event as its own column. See Manage Attendee List.
Deleting a Field
Removing a definition and saving takes the column off the attendee screen, but the values that were already entered are kept. They still come out in the export, under the field's internal name rather than its label, so nothing that was recorded is lost.
Events that used the older, fixed Hotel box still show it as long as no admin fields have been defined for that event, or as long as it holds a value. Defining admin fields is the way forward; the old box is kept only so existing events do not lose what is in it.
